Request Account & Data Deletion

What gets deleted

When your account deletion request is processed, we permanently delete account-linked data such as:

• Your account profile, login credentials, and account settings
• Campaigns you own, including session recordings metadata, transcripts, summaries, timeline data, characters, factions, locations, items, moments, journals, and uploaded images
• AI embeddings and search indexes generated from your campaign content
• Collaborator and player access tied to your account
• Mobile app preferences and push notification tokens associated with your account

What may be kept

Some information may be retained after account deletion when required by law or for limited operational purposes:

• Billing and payment records needed for tax, accounting, fraud prevention, or legal compliance
• Support correspondence related to your deletion request
• Anonymized or aggregated usage data that cannot reasonably be used to identify you
• Information we are required to retain to comply with applicable law

Retention period

Most account and campaign data is removed during deletion processing, typically within 30 days of a verified request. Residual copies in encrypted backups are purged on a rolling basis and are not restored for normal use. Records we must keep for legal or financial compliance may be retained for up to 7 years, or longer if required by law.

Canceling a paid subscription does not delete your account. If you cancel only, your data is preserved in case you resubscribe. To remove your data entirely, follow the account deletion steps above.

Delete content without deleting your account

You can delete individual campaigns, sessions, and other content from within Archivist at any time without closing your account. Campaign owners can permanently delete a campaign from Campaign Settings. Session audio is removed after transcription, and related embeddings are removed when a session is deleted.
